Rules & Regulations

1. Building Regulations

To comply with local building regulations, all exhibitors building their own stand must submit detailed drawings of the stand to the Organiser at least 6 weeks before the show for the approval of the relevant authorities and the Organiser to ensure that the interest of all exhibitors are observed. The exhibiting company and their appointed contractor shall ensure the structural integrity of the booth design.

2. Build-up and Tear-down Schedule

The strict build-up and tear-down schedule which will be issued by the Organiser will be enforced and it is the responsibility of the contractor to check with the Organiser on the schedule. Failure to comply may result in the delay of installation of electrical orders and equipment move-in. Any consequential cost incurred will be charged accordingly.

3. Identification

All workers employed for the construction of the stand must wear identification badges provided by the Organiser at all times when they are in the exhibition hall. Identification passes can be applied for on the registration site or by contacting the organiser.

3. Removal of items blocking aisles

During the build-up period, the Exhibitor and their contractors will be responsible for the day-to day removal of items that block aisles (i.e. items of rubbish, tools, stand equipment, etc). Failure to do so will result in the exhibitors or contractors being liable for their removal and storage.

4. Hall and Stand Structures

As the exhibition is located within the Lindesnes Hall, there are a number of additional stand design considerations. Construction from raw materials on site is not allowed and all items must be prefabricated before being brought to the exhibition centre. Extensive carpentry and similar functions on site are forbidden, as is the use of spray paint. If an exhibitor or contractor wishes to undertake any other painting on site, they must contact the organiser in advance and obtain written approval. The maximum permitted stand height is 4 metres, however parts of the hall can only accommodate stands with a height of 2.4 meters. Any design for a structure exceeding 2.4m in height will be considered on a case by case basis. In the construction of the stand, existing fixtures or walls may not be used in any way (i.e. nailing, wiring or fixing of exhibits to any existing structure). Except for “island” booths (4 open sides), a back wall (or where there is more than one neighbour, walls) must be installed for every stand. The side of these walls overlooking a neighbour’s stand must be “made good” when they are in excess of 2.4m in height. Exhibitors may not place any display material on a wall or structure that overlooks a neighbour’s stand, unless that wall or structure is at least 1 meter from the common boundary of the stands.

5. Floor Covering

The Lindesnes Hall of the Stavanger Forum has a high quality carpet that we are not able to remove. This carpet will therefore be used in the aisles and for all the organisers stand package booths. Any Exhibitor that wants to have its own floor covering will need to ensure that the venues carpet is properly covered and protected as any repair costs for damaged carpet will be chargeable to the exhibitor / contractor responsible. Any Exhibitor that plans to cover the existing carpet with another floor covering must provide details, to the organisers, as to how the venue carpet will be protected at least six weeks prior to the show.

6. Floor Loading Capacity

The permitted floor loadings stipulated by the venue owners must not be exceeded.

7. Banners

Banners are not permitted within the exhibition hall.

8. Open Frontages

All stands in the exhibition, irrespective of height, must have at least one-half of the frontages on each side open or fitted with transparent material to the underside of the fascia and subject to the organisers approval.

9. Fire Regulations

All materials used in the stand construction must be properly fireproofed in accordance with local regulations.

10. Noise Levels

In the event of complaints from other exhibitors the Organisers reserve the right to determine the acceptable sound level and extent of demonstration for working exhibits and audio-visual presentations. If verbal warnings have been ignored, the Organisers reserve the right to shut down any noise source.

11. Obstructions

Columns, pillars, fire points and/or utility connection points may not always be conveniently located with regards to the stands allocated. This may result in longer lengths of cables and pipes being visible, possibly across your stand.

12. Dismantling

At the close of the exhibition, is it the joint responsibility of the exhibitor and the contractor to dismantle and remove the stand (including debris), in accordance with the dismantling schedule to be issued by the Organiser.

13. Observance of Rules & Regulations

Exhibitors are responsible and liable for their contractor’s observance of all rules and regulations and are liable for any damages arising directly or indirectly from any infringement. It is the responsibility of the contractor to check with the exhibition centre and the Organiser on the rules and regulations. The Organiser reserves the right to charge any such exhibitor and /or contractor who have violated any Rules or Regulations or delay in the build-up or teardown, for additional work as required as a result of the violation.
